This guide explains how the AIDEKDOC Post-Project Documentation System fits together, the order in which its templates are typically used, and how to adapt them to your studio. Read it once before issuing any document to a client.
1. WHAT THIS BUNDLE IS FOR
The Post-Project Documentation System covers everything that happens between substantial completion of a design or construction project and the formal close of the client relationship: final checks, handover, statutory closure, financial reconciliation, aftercare and reputation-building. It is written for architecture studios, interior design practices, design-and-build consultancies and independent design freelancers working on residential and commercial projects in India, and is easily adapted for other markets.
2. HOW TO USE THIS SYSTEM
☐ Duplicate the whole folder for each new project and rename it with your project code.
☐ Replace the bracketed and underlined placeholders — firm name, logo, client, project, fees, jurisdiction — in every document before issuing it.
☐ Not every template applies to every engagement. A short interior styling assignment may only need Documents 01, 05, 09 and 10 — skip what genuinely does not apply rather than forcing every template into every project.
☐ For architectural and larger interior fit-out projects, use the full sequence below, in order.
☐ Keep a completed set (digital and, where signed, physical) in the project's permanent record — several documents here also support statutory, insurance and dispute-resolution needs.
3. RECOMMENDED SEQUENCE
# | DOCUMENT | PURPOSE |
01 | Project Completion & Handover Certificate | The core sign-off record confirming the project is complete and listing every deliverable, drawing, certificate, warranty and key handed to the client. Use for architectural, interior design, renovation and turnkey projects alike. |
02 | Final Deliverables & Documents Checklist | A master tracking checklist your team runs through before scheduling handover — drawings, approvals, statutory certificates, manuals, media and physical items. |
03 | Pre-Handover Snag List & Defects Record | Logs every defect, incomplete item or client observation found during the pre-handover walkthrough, with owner, target date and closure sign-off. |
04 | Defects Liability Period & Warranty Tracker | Tracks the defects-liability / warranty window after handover — what is covered, for how long, and a log of any claims raised and resolved. |
05 | Client Final Acceptance & Sign-Off Form | The formal instrument by which the client accepts the completed works and releases the firm from further construction/design obligations, distinct from the feedback form. |
06 | Final Account & Payment Closure Statement | Reconciles the project financially — fees invoiced, variations/extras, retention, taxes and the final balance — and confirms the account is closed. |
07 | Statutory Compliance & Certificate Closure Checklist | Tracks occupation/completion certificates, NOCs and other regulatory closures, and includes a ready-to-adapt Occupation Certificate application letter. |
08 | Maintenance & Aftercare Guide | A client-facing handbook of care, cleaning and maintenance guidance for finishes, fixtures, furniture and systems delivered on the project. |
09 | Vendor, Contractor & Warranty Directory | A single register of every vendor, contractor and supplier engaged on the project, their scope, contact details and warranty terms. |
10 | Client Feedback & Testimonial Form | A short satisfaction survey and testimonial request, with the client's permission to publish their feedback. |
11 | Photography & Case Study Media Release | Consent from the client to photograph, publish, and use the completed project for portfolio, marketing, and case-study purposes. |
12 | AIDEKDOC Template Disclaimer & Terms of Use | The full disclaimer governing use of every template in this bundle — read this once before rolling the system out. |
4. ADAPTING BY PROJECT TYPE
Rather than issuing a separate full set for every project category, each template includes an "Applicable To" field and, where the item genuinely differs, a checkbox for the relevant discipline. Use the guidance below to decide what to include:
Architectural & Renovation Projects
Use the full sequence, with particular attention to Documents 02, 04 and 07 — as-built drawings, structural coordination, and statutory certificates carry more weight and more risk on built projects.
Interior Design & Turnkey Fit-Out Projects
Use the full sequence, weighting Documents 01, 08 and 09 — furniture, fixtures, finishes and vendor warranties are the items clients most often need after move-in.
Freelance & Short-Scope Design Services
A lighter set is usually sufficient: Document 01 (simplified), 05, 06 and 10. Statutory and defects-liability documents (04, 07) can be omitted where the freelancer's scope excludes execution and compliance.
Residential vs. Commercial Projects
The templates are drafted neutrally for both. For commercial work, add lease-hold/landlord NOCs, fire and occupancy compliance, and any facility-management handover to Documents 02 and 07.
5. BEFORE YOU ISSUE ANY DOCUMENT
☐ Insert your studio's letterhead, logo and registration/ license details where applicable.
☐ Confirm the governing jurisdiction and update any statutory references (municipal authority, applicable codes, tax treatment) to match.
☐ Have contracts, fee structures and scope definitions reviewed by qualified legal or professional advisers before standardizing them across your practice.
☐ Read Document 12 — the full AIDEKDOC Template Disclaimer & Terms of Use — before distributing this system within your studio.
